- Response time guarantees — Especially for storm debris. After a hurricane, your property should be prioritized, not waiting 3 weeks while the contractor handles residential cleanup.
- Monthly reporting — A good contractor should be able to tell you exactly what was done on your property each month, including any issues noted.
- COI availability — Your Certificate of Insurance should be available same-day, not “we’ll get that to you next week.”
What to Include in an HOA Landscaping RFP
If you’re starting from scratch with a new contractor search, here’s what your Request for Proposal (RFP) should include:
- Property map with all service areas clearly marked
- List of specific services required with frequency
- Any special requirements (no chemicals near playground, specific irrigation zones)
- Required insurance types and minimums
- Proposal turnaround deadline (I always respond within 48 hours)
- Reference requirements — ask for HOA-specific references, not just residential
Pro tip: If a contractor can’t provide HOA references within 24 hours of your request, that tells you something.
Owner-Operated vs. National Chains: The Real Difference
Here’s something property managers told me matters more than price: who shows up when something goes wrong.
With a national landscaping chain:
- You call a 1-800 number
- A dispatcher takes a message
